Job Description The Administrative Assistant - Facilities
Coordinator is responsible for providing support to the Director of
Facilities and the Facilities Department. The Coordinator is the
first point of contact for internal and external customers seeking
assistance from the department. Responsibilities include: oversight
of daily office operations and maintenance of department records.
Under the supervision of the Director of Facilities, the
Coordinator will coordinate and schedule all outside contractors,
including maintenance of contracts and coordinating project
activities. Schedule is Monday --- Friday, 8:00am --- 4:30pm
Essential Duties and Responsibilities Assist the Director of
Facilities in all aspects of project implementation as needed
Manage the Security access-control database in conjunction with the
Security Coordinator Represent the Department in inter-departmental
meetings as needed Coordinate all department activities, provide
work project direction Maintain and update department policies and
processes. Maintain department files, information, and contact
lists Assist Director in locating suppliers and materials ---
research as needed Prepare RFPs, bid information and other contract
documents Prepare internal documents and coordinate support of
events supported by the department Provide administrative support
to the Director and department as needed Additional duties as
assigned. Min Qualifications Knowledge of Federal, State, and
regulatory compliance requirements related to facilities and health
care (OSHA, TJC, EOC). Requires: strong written and verbal
communication skills; knowledge of Microsoft Office Suite including
Excel, Outlook, Word, Power Point, and Visio; excellent
interpersonal skills, professional demeanor and ability to work in
a fast-paced, team environment. Must be detail oriented and able to
manage multiple projects and competing priorities. Physical demands
The employee must occasionally lift and/or move up 25 pounds.
Specific vision abilities required by this job include close vision
and the ability to adjust focus. Must have high manual dexterity
and able to lift/reach above shoulder Work Environment The noise
level in the work environment is usually moderate. Requires indoor
and outdoor work. Education/Experience Requirements High School
Diploma or equivalent required. Associates Degree or Certificate in
related field preferred. Minimum 3 years--- administrative support
required. Experience in Facilities and Healthcare environment
preferred. Must have Valid CA Driver---s License, acceptable
driving history and proof of liability insurance. Company
