Job Description
Pay Range: $170,000 to $220,000 per year
Purpose of Position:
The Human Resources (HR) Systems Project Manager (PM) will be
responsible for ensuring the successful implementation of
comprehensive HRMS solutions, as well as, establishing and
maintaining HR Systems roadmaps. The PM will drive the Workday
implementation to include several functional areas; HCM, Pay, Time,
Absence, Benefits, Talent, Compensation, Documents, multiple
down/upstream related system connections/integrations, and complex
reporting.
This technical-focused role, concentrated on leading and managing
cross-functional requirement gathering for HR Systems projects,
will serve as a functional liaison to internal HRMS and project
governance teams, to define technical processes and document
procedures. The TEAM member will deliver business results by
championing a culture of accountability and consistent project
management practices. The HR Systems PM is responsible for
supporting and deploying core processes and driving initiatives
across HR.
Essential Job Functions:
- Oversight of all systems, projects, and overall project
portfolio in HR. Manages scope, schedule, budget, and resources
(including external vendors). Also responsible for pre-project
activities and consulting with HR, Finance and Technology leaders
on issues such as project costing, systems selection, etc. Provides
analysis of project, including business case, ROI and post-project
review.
- Facilitates leadership decision-making for program priorities,
support structures and resource allocation. Administers the
execution, maintenance, projects' implementation, change
management, and cross-functional alignment of workstreams; ensures
program and compliance with relevant industry, state and federal
regulations
- Partners with core team members and provide project management
support to develop, coordinate, align and facilitate short-term and
long-term/multi-year plans. Ensures projects are properly planned
and staffed
- Initiates projects aligned with how HR Systems prioritizes work
and be the catalyst for winning support and driving them through
the execution phase with suitable monitoring and reporting.
- Synthesizes and simplifies complex problems, operations, and
systems with broad scope; organize information regarding multiple
functions, projects and tasks while navigating ambiguity; and parse
and organize conflicting requirements and priorities across
teams.
- Assesses current-state process gaps, make recommendations for
improved workflows and collaborates with working groups to document
to-be processes.
- Provides leadership to develop new or improved processes,
methodologies, systems, tools, and/or services to enhance our
operating environment based on practical experience, optimal
outcomes, and best practices. Drives innovation, best practices and
achievement of strategic objectives.
- Controls and evaluates changes to the project scope, project
schedule, and project costs using appropriate change control
protocols to ensure appropriate approvals.
- Uses excellent communication skills and proactive behavior to
inform, escalate, influence, build consensus and drive change
management across stakeholders.
- Be an expert in Workday's Implementation Methodology and use it
on all engagements. Demonstrates competency in the Workday product
suite.
- Participates in the sales cycle when requested to gather
requirements, formulate delivery approach and develop a
proposal/SOW.
- Ensures milestones are successfully met through oversight of
projects and coordination of resources.
- Collaborates with multiple departments who will ultimately
become Workday end-users.
- Leads communication with stakeholders and team members through
completion of the project.
- Directs and clearly communicates project timelines and
budget.
- Works cross-functionally with IT, HR Business Partners, key
stakeholders, and subject matter experts to implement technologies
and solutions and/or drive business transformations in the HR
area.
- Management of all aspects of delivery across the software
development life cycle including a Global HRIS/HCM
Implementation.
- Ensures projects are effectively executed and that teams are
kept focused, energized, and on track to meet the objectives of
business initiatives.
- Works with leadership to develop Post-Go-Live Support plans and
ensure continuity to internal and third-party teams for support,
maintenance, and next-phase development.
- Provides day-to-day leadership, management and coordination of
activities pertaining to project management including: developing
and refining project charters; building project plans; developing
change and communications plans; updating team on key decisions and
status, including executives; defining roles and responsibilities;
managing budget; identifying measures of success and ensuring
timely execution of deliverables. Monitors projects through all
phases of project to ensure that projects are delivered on time, on
budget, and within scope, and holding the vendor accountable to
SLA.
- Requirements analysis, management, and revisiting to fine-tune
end users' system needs and expectations to achieve alignment
between business expectations and system capabilities. Defines and
maintains process documentation and data definitions. As needed,
collects, validates and maintains business requirements.
- Creates key partnerships to influence the direction of the team
and foster an environment of continuous learning, sharing,
improvement and evolution across the team.
- Ability to diagnose, make decisions, resolve issues and solve
problems required, including a detailed understanding of how to
interpret business needs and translate them into operational
requirements.
- Provides leadership to develop new or improved processes,
methodologies, systems, tools, and/or services to enhance our
operating environment based on practical experience, optimal
outcomes and best practices.
- Works across functional and technical teams to ensure
collaboration, communication, visibility, and successful delivery
of complex projects. Collaborates with HRMS teams to develop
project management timelines and deliverables and managing
functional team participation in technical initiatives.
- Conducts analysis to determine regression impact of proposed
technical solutions on functional process and downstream
applications.
- Establishes project goals, milestones, and procedures, define
roles and responsibilities, acquire project resources, and
coordinate projects throughout company. Develops and implements
project plans, governance, communication cadence, project tools,
and project structure to effectively deliver
programs/projects.
- Maintains a high degree of integrity in handling confidential
information.
Qualifications
- 7+ years of Project Management experience, successfully leading
major HR change initiatives. Prior execution of multiple
enterprise-wide projects to successful completion, on budget and on
time.
- Significant Workday implementation experience with an
understanding of both HCM and Time/Pay/Benefits functional areas is
a must. Familiarity with Workday and custom integrations. Strong
understanding of key Workday functional process streams.
- Relevant HCM project management skills for large, complex
organizations, and the ability to define and execute multiple
detailed activity plans simultaneously, in a way that makes sense
to both technical and non technical team members.
- Excellent time and budget management.
- Demonstrated analytical, planning, prioritization, and
organizational skills in a fast-paced, collaborative
environment.
- PMP, Agile, or equivalent Project Management certifications
preferred.
- Lead major change initiatives and secure stakeholder support by
integrating business, executive, and HR leadership input into the
decision-making process.
- Organized self-starter, capable of breaking down complex
problems into traceable tasks. Solves complex problems; takes a new
perspective using existing solutions.
- Experience leading and supporting team members with whom no
formal hierarchical relationships exist.
- Experience working with/leading vendors.
- Excellent communication-ability to effectively communicate with
internal and external teams. Comfortable working with leaders from
a variety of levels, on a global scale.
- Inspired visionary who can foster/generate excitement, buy-in,
and understanding with the TEAM.
- Ability to develop, plan, and implement short and long-range
goals, establish priorities, and organize resources.
- Demonstrated knowledge and application of organizational change
management strategies, process improvement, and strategic process
optimization.
