About the Job:
The Department Specialist (DS) reports directly to the School of
Engineering Dean's Office, specifically to the Executive Assistant
Dean (EAD) of Personnel, Finance and Administration function unit.
This position will provide general administrative support to the
department chairs in executing their departmental responsibilities.
The Departmental Specialist will provide both logistical and
general project management support to the Chairs. The designated
department chairs, in consultation with DS supervisor under the
EAD's Admin function unit, will assign tasks and duties to the DS
varying in scope and complexity. The DS will provide support to
multiple department chairs in administering department
Communications Support. The DS Communicates (by email, in-person or
phone) daily with staff in the School's Personnel, Instructional
Lab, Graduate and Undergraduate and Financial Services Office.
Clerical and Record-keeping. In consultation with the School s
Admin Unit, the DS will provide administrative duties as assigned
by the department chair which may include managing department
records and compiling provided information/data into reports.
Planning and Logistics. Provide necessary clerical support to
department chairs in relation to the following areas: scheduling
room and parking reservations, other on-campus arrangements.
Financial / Administrative tasks. At the direction of the School s
Finance and Business Admin unit, the DS will assist in the
preparation of monthly financial expense reports, staffing
reconciliation on the general operational budgets, account
reconciliation on the general ops, gift, temp academic support
(Instruction) and course fee accounts as well as other misc.
*This position is union represented by CX-Clerical & Allied
High School Diploma, General Equivalency Degree (GED), or High
School Equivalency Diploma (HSED) or equivalent, and three (3)
years administrative/clerical work experience, or the equivalent
years of work experience which have led to the development of the
skills, knowledge, and abilities essential to the successful
performance of the duties assigned to the position is required.
Bachelor's Degree, preferred.
Thorough knowledge in administrative procedures and processes
including word processing, spreadsheet and database
Requires good verbal and written communication skills, active
listening, critical thinking, and multi-tasking and time management
Requires interpersonal and work leadership skills to provide
guidance to other nonexempt personnel.
