Hiring Range


The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $58,300 - $101,900. The budgeted salary range that the University reasonably expects to pay for this position is $66,000 - $81,000.
Job Closing Date


This position is approved for a hybrid work modality with at least one remote day per week (as business allows).This position will require some after-hours and/or weekend work for executive and signature events. About the Job


The Executive Assistant will provide high-level administrative support to the Vice Chancellor, External Relations and the Assistant Vice Chancellor and Senior Advisor. The position is responsible for maintaining a highly complex calendar and ensuring administrative processes run smoothly for the executive's office. The Executive Assistant will arrange and coordinate travel plans and meeting logistics; track donor activity and record in the database as appropriate; draft correspondence on behalf of the executive and respond to inquiries when needed; provide information and recommendations related to various requests from donors and community members; interacts with campus partners including members of executive leadership. Develops and distributes agendas, conducts research, records highlights and tracks action items, and initiates follow-up as needed. Responsible for the security of filing systems which includes sensitive and confidential information. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.Key Responsibilities:

Oversees and ensures the daily administrative operations run smoothly for the executive's office.Responsible for the Vice Chancellor's complex calendar and meeting preparation. Prepares daily briefing material for the executive. Functions as the gatekeeper, understanding the requirements of the executive to prioritize issues according to urgency and to allocate time for scheduled events, travel, and meetings. Prepares all travel and reimbursements for the executive. Greets campus visitors and dignitaries, and coordinates logistics for meetings and donor visits, including scheduling, room reservations, catering, and parking. Provides administrative support for departmental initiatives and meetings, such as all staff meetings and retreats. Assists with special events, when needed. Develops and maintains a process for tracking constituent interactions and ensures timely entry into database; maintains contact information of constituents and communicates changes to ensure accuracy of information. Qualifications


Bachelor's degree in related area from an accredited institution; and3 years of experience working in related capacity (required).Valid CA Driver's License (required). Skills and Abilities - Position
Strong oral and written communication skills.Proficiency in the use of MS Office.Excellent customer service skills. Ability to manage multiple projects in a fast-paced environment. Strong time-management and organizational skills.Strong skills to communicate effectively with all levels of staff, faculty, alumni / donors, students and external constituencies, both verbally and in writing.An ability to maintain a high level of confidentiality. Ability to plan and manage projects and maintain accurate records. Ability to multi-task with accuracy. Detail oriented, excellent organizational, interpersonal and communications skills are essential.
